The Field Service Administrator will be responsible for overseeing the successful operation of the Field Service team.  The team includes the Field Service Technicians, the Regional Service Managers, Director and VP.   The position includes both clerical and administrative support, either as part of a team or individually.  He/She is involved with the coordination and implementation of office procedures and frequently has responsibility for specific projects and tasks.  This position requires a strong work ethic and the ability to self-start, self-regulate workloads, and work well in a group dynamic or independently.

• Manage and coordinate service vehicle fleet which includes the ordering of new and trading in of expiring leases, annual registration payments, Insurance notifications and the maintenance approval process

• Primary contact person for all service vehicle accidents that require notifications to Human Resources, insurance company and corporate controller

• Manage and coordinate the uniform ordering and maintain stock levels.  This includes receiving, inventory distribution, and stocking the items in a secured area

• Maintain a uniform-issued matrix to include technicians’ names, sizes, dates and quantities

• Coordinate travel arrangements and extensive calendaring with a strong attention to detail and in a cost-effective manner anticipating transportation, lodging, meeting and communication needs while traveling. 

• Coordinate meeting details including reservations of meeting location, catering, outside meal reservations or any detail related to the specific event.

• Assigned as a back-up approver for travel as part of the escalation process within the field service department.

• Complete expense reports ensuring accuracy and proper approvals.  This can include completion or assistance for field service technicians that have termed, become delinquent or have limited access.

• Assigned as a back-up approver for expense reports as part of the escalation process within the field service department.  

• Responsible for coordinating with the Regional Service Managers to onboard new employees within the department related to access of various AGS systems, uniform and tool assignment, training and orientation to department procedures.

• Manage content posted on the AGS SharePoint Field Service page.  This may include new procedures, department projects and general organization of content posted.

• Collaborate, create and produce monthly reports or metrics related to operating expenses, mileage reimbursement trends, labor usage in the field or any related metric identified.

• Work with confidential and sensitive information

• Establish follow up surveys for the team related to post technical training and other special events to capture data to drive continuous improvement of our processes.

Requirements:

• High School or GED required

• Must be at least 21 years old

• Excellent communication skills, both oral and written

• Ability to train others on departmental procedures

• Strong time-management, project-management and troubleshooting skills

• Well-organized with strong attention to detail

• 4 years’ prior administrative support and/or project administration experience 

• Ability to learn and adapt to new technologies

• Strong knowledge of Microsoft Office Suite: Outlook, Excel, Word, Power Point, and Internet Research

Preferred Skills:

• Bachelor’s degree in business or equivalent experience preferred

• Experience in customer service/customer interaction a plus, but not required

• Gaming industry experience a plus
